The African holiday tours featured on our website are operated by African Vulture Safaris Ltd (hereinafter called “AVS”, “we” or “us”), which is based in Nairobi, Kenya.

You’re booking your African trip with African Vulture Safaris Ltd (sometimes referred to as AVS).

Your Booking With African Vulture Safaris Ltd

A booking with African Vulture Safaris will exist as soon as we issue our ‘Confirmation Invoice & Itinerary’. We will issue this after receiving your deposit, and confirming every element of your trip to Africa.

Your booking is made on the terms of these booking conditions, and in agreeing to them you guarantee that you have the authority to accept and do accept on behalf of your party (named on the booking form and invoices) the standard terms of these booking conditions.

We will gladly quote you a trip in USD, and any quote you receive from us will be valid for 7 days. After this we reserve the right to recalculate the cost based on the ever changing currency exchange rates. You should at least pay your safari deposit and your balance in the same currency that was agreed on when you decided to go ahead with your trip to Africa. (Unless advised to pay in other currencies).

Payment By Debit/ Credit Cards

We prefer payment by credit card on-line (Visa, MasterCard or American Express) through our secure online payment system.

Once your booking is confirmed and your sales consultant / tour manager has emailed you the invoice, you will then receive an email from African Vulture Safaris with a payment link that directs you to our secure online payment system, where you can enter your details and process your payment. A transaction fee is of 3.5% is applicable while transacting. However your credit card company may also add their own handling fee for processing a payment outside your home country.

Balance is due within 15 working days prior to the start of your safari arrangements.

For persons from overseas, payments are to be made is USD as quoted. Payments in other convertible world currencies can only be made to us subject to prior agreement and current exchange rate.

The date of your instalment payment and the balance payment payable, will be advised by African Vulture Safaris Ltd, and visible on your invoice, but generally the final payment is due no later than 15 days before the date of departure.

Safari Cancellations and Refund Policy

African Vulture Safaris booking / cancellation conditions are determined by the fact that once a Hotel, Safari Lodge/ Camps, Park Fees, Local Domestic Airlines or any Services are booked on your behalf, we shall incur a cancellation fee if we are required to cancel the booking. We try to keep such cancellation charges to a minimum and they apply as follows calculated as a percentage of the total price:

Any quote offered to you is valid for 7 days from that date after which we may have to vary the price due to changes in costings or online currency exchange rates.

If an additional deposit is required you will be informed prior to booking your trip with us.

The scale of charges, expressed as a percentage of the tour price is subject to the following forfeit fees, as follows for both our Kenya & Tanzania Safaris.

  1. Cancellation up to 60 days prior to commencement of the safari.
  2. Cancellation up to 35 days prior to commencement of the safari.
  3. Cancellation up to 15 days prior to commencement of the safari.
  4. Cancellation less than 15 days or more than 3 days prior to safari start.
  5. Cancellation 3 days or less before commencement of safari.
Cancellation Charge
  1. (0) Zero cancellation charges.
  2. 20% cancellation charges.
  3. 40% cancellation charges.
  4. 60% cancellation charges.
  5. (0) Zero refund, 100% cancellation charges apply.

Cancellations/ Refunds due to you in the event of safari cancellation can only be credited to the original credit / debit card used in making of initial payment, if within 6-months of refund payment.

This will be done on receipt of written notification from the person who made the booking & should be received by email.

In the event of a cancellation, please be advised that a 5% administrative fee will be levied to account for transaction charges.

Safari Accommodations

All quoted tour prices include accommodations based on double occupancy. Kindly take note about an additional single supplement fee for single occupancy accommodations.

Festive season supplement fees will also apply during such seasons.

In some safari lodges or safari camps, children of certain age are not permitted unless where advised accordingly.

Some factors are not under our control and early and late in the season some tourist facilities may not operate. Likewise, swimming pools have to be cleaned and sometimes emptied and maintenance work can affect the availability of certain lodge amenities.

Safari Meals

Meals plans are included in the tour price as stated in the sent safari itinerary, B=Breakfast, L=Lunch and D=Dinner.

Safari Baggage

You may take along two normal size pieces of luggage, not exceeding a total of 44 lbs. per person. On charter flights in Africa the baggage allowance may be less. Arrangements have been made for safe storage while on tour. However, all baggage is at the tour member’s risk whilst on tour. You can consider a baggage insurance.

Gratuities, Taxes and Entrances Fees

Charges for hotel taxes are included, as well as game park entrance fees and to all wildlife reserves included in the itinerary. In Africa, tips to driver-guides and escorts are not included and are at your discretion, though unavoidable.

Your Responsibilities

Your specific passport and visa requirements, and other immigration requirements are part of your responsibility as a traveler, and you are supposed to confirm these with the relevant Embassies and/or Consulates. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. You are also advised to ensure that your vaccination certificates are in order and that you have taken the advice of your doctor with regard to inoculations/vaccinations.

Bookings are accepted on the specific condition that African Vulture Safaris Ltd and its team of independent overseas Safari Consultants act only as agents of the passenger in all matters relating to hotels, sightseeing tours, restaurants, all forms of transportation and other services which may be included in these tours. African Vulture Safaris Ltd may purchase these services from suppliers and other independent contractors, without warranties and representations from them and thus such services are not subject to its control.

Not Included In Quoted Tour Prices

The following items are not included in quoted tour prices: costs of obtaining passports or visas; personal expenses such as beverages, laundry and room service; gratuities/tips to your safari escort, camp staff, driver-guides; excess baggage fees; communication charges; airport arrival transfer taxes, airport departure taxes; meals not specified in your itinerary; climbing gear for Mt Kenya and Kilimanjaro climbing; any airfares unless where specifically and clearly mentioned otherwise.

Travel Insurance

An African Vulture Safaris Ltd booking condition is that you accept the hazards involved in visiting remote wildlife areas, and engaging in potentially dangerous activities.

It is of importance that you protect yourself with a short-term traveler’s insurance policy covering; medical emergencies, personal baggage and money loss, personal accident, emergency travel, trip cancellation among others.

Please note that it is your responsibility to take out insurance, with the cost for your account, and that African Vulture Safaris Ltd cannot be liable in any way whatsoever you should fail to do so.

If you are coming to East Africa from overseas, we request that you provide us with your insurance provider’s name, together with the policy number and the insurance company’s emergency contact telephone number in case of any emergency whilst you are traveling.

Medical Information

Participation on an African Vulture Safaris Ltd tour requires that you are in generally good health. Persons with any medical problems, make them known before departure.

The tour leader has the right to disqualify any participant at any time during the tour if he/she feels that the participant is physically incapable and/or if a participant’s continued participation will put at risk either the individual involved or the safety of the group.

There will be no refund given under these circumstances. By completing the booking form or receiving the invoices, and accepting to join our trips, the participant certifies that he/she does not have any mental, physical or other condition or disability that would create a risk for him/herself or other guests.

Itinerary Changes and Trip Delay

We do our best to provide to you an enjoyable, trouble-free safari tour but sometimes even the best-laid plans can go wrong.

African Vulture Safaris Ltd reserves the right to change a tour’s dates, itinerary or accommodations as conditions warrant, which includes but is not limited to: the substitution of hotels, alteration of the itinerary, and reversing the order of the places to be visited.

These are tours to remote parts of the world, and we reserve the right to change the itinerary due to weather conditions, safari lodge availability, political conditions, and other factors beyond our control without consulting the participants.

Such decision will be made when deemed advisable for the comfort and safety of passengers and with regards to the safety of all staff. Participants will have no right to any refund or other considerations in the event of these inevitable itinerary changes. If an expedition must be delayed, or the itinerary changed due to bad weather, road conditions, transportation delays, government intervention, sickness or other contingency for which African Vulture Safaris Ltd or its agents cannot make provision, the cost of delays or changes is not included.

In the event of a problem whilst you are on a safari tour with us, please inform your tour planning manager via email or WhatsApp ,Lodge Camp Manager if accommodation related and your tour driver / guide immediately. This gives us the opportunity to correct the issue on the spot so that it does not spoil your Safari experience. If the matter cannot be resolved immediately, please send details of your complaint to us in writing within 20 days of your return from your holiday.

Public Holidays

Public holidays and religious festivals throughout the year (particularly Ramadan) may have an impact on the atmosphere of a destination and the reliability of shops, banks and other facilities.

Limitations of Liability

African Vulture Safaris Ltd, its owners, agents and employees give notice that they act only as the agents for the owners, contractors and suppliers providing means of transportation and/or all other related travel services and assume no responsibility howsoever caused for injury, loss or damage to person or property in connection with any service resulting directly from: acts of God, detention, annoyance, delays, expenses arising from quarantine, strikes, thefts, pilferage, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations and discrepancies or changes in transit or hotel services over which it has no control. Reasonable changes in the itinerary may be made where deemed advisable for the comfort and well-being of the passengers.

 

In case of a medical problem arising during the expedition, which results in costs for evacuation, use of aircraft or repatriation, the responsibility for payment of these costs belongs solely to the passenger. African Vulture Safaris Ltd advises that participants ensure that such eventualities are covered by travel insurance. If not covered by travel insurance the responsibility still remains with the passenger and African Vulture Safaris Ltd specifically declines any responsibility whatsoever.

 

African Vulture Safaris Ltd the local operators, their tours and/or suppliers of services, and other cooperating agencies reserve the right to refuse individuals from a safari without refund. During the Tour, African Vulture Safaris Ltd will be able to terminate your participation on the Tour if your behavior is believed to be in breach of this obligation and in such circumstances African Vulture Safaris Ltd will have no further liability to you. Also applies to those who acts in a manner which is unsafe for themselves, or inconsiderate or unsafe to fellow travelers, and/or who ignores the requests of their guide (s) to act in a safe and responsible manner.

 

 

On advancement of deposit to African Vulture Safaris Ltd, the depositor agrees to be bound by the above described terms and conditions. African Vulture Safaris Ltd hereby notifies all passengers that any matter or cases relating to any tour is subject to/or governed by the rules and laws of the country to which it takes place and no other country according to these booking terms and conditions.

Risks

African Vulture Safaris Ltd draws your attention to the fact that there are certain natural dangers involved with adventure travel, and the client accepts them at his/her own risk. It is however advisable to take travel insurance and a separate baggage loss before start of your safari.

 

By registering for the tour with African Vulture Safaris Ltd you confirm the following:

 

We will not be liable where any failure to perform or improper performance of the travel services is due to: you or another member of your party; or a third party unconnected with the provision of the travel services in the package and is unforeseeable or unavoidable; or unavoidable and extraordinary circumstances, which means a situation beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken.

 

Please be aware that on any African safari, your clients may be taken into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur.

Neither African Vulture Safaris, nor its employees, nor its suppliers can be held responsible for any injury or incident on the safari. Please note that many safari camps are unfenced and animals are able to wander through the camps at all times of the day and night.
